How do I add a new user?
Only an administrator user type can add a user. Go to the “Admin’ button on the tool bar. Click on ‘User Maintenance’ and ‘Add New User to System’. Enter the required information. Remember to select a user type from the dropdown: User or Administrator.
How do I add my initial inventory?
Click ‘Add” on the tool bar. From the ‘Drug Received From’ dropdown box choose ‘Existing Inventory’. Next either scan the barcode on the bottle or tab over and enter the NDC number. Press tab and the drug information fields will auto populate. If the drug is not in the database simply enter the required information. If entering a generic drug remember to type the generic name in the ‘Brand Name’ field as reports will be sorted from this field. ‘Drug Description’ is always the generic name. Use “IE” in the ‘Invoice or PO’ and ‘DEA 222 Control Number’ fields.
‘Inner Package Size & Description’ will be the quantity in the container and the form (for example 100 capsules). The ‘Outer Package Size & Description’ will normally be ‘1’ and ‘bottle’. Select the ‘Inventory Units’ from the dropdown box’ and then enter your starting inventory. You will be required to enter your ‘Full Level’ and “Par Level’ as well. The item will show on your ‘Below Par’ report once you are down to a quantity equal to your ‘Par Level’.
What’s the difference between ‘Add’ and ‘Receive’?
If you are adding a brand new drug or NDC to the system for the first time, you will use the ‘Add’ function. You will use the ‘Receive’ function to replenish existing inventory levels for a reordered drug.
I’ve filled the CII prescription, now what?
Simply log into CSManager and click the ‘Dispense’ button on the toolbar. If you have a barcode with the required information (NDC, RX#, Quantity) then you just scan that barcode and hit ‘Accept’. Pharmacists without the required barcode simply tab to the ‘Drug’ dropdown box and select the drug or tab again to the ‘NDC’ field where you can type in the NDC number of the drug. Then tab to the ‘Disp Quantity’ field. The program will show you the current quantity for verification. Enter in the number of units dispensed and tab to the ‘RX number’ field. You will now see the remaining quantity for verification. Enter the RX number and click the ‘Accept’ button. There is a field on the screen for dispensing notes if needed.
I am using two different NDC numbers to fill this prescription. How do I account for this is CSManager?
Follow the same steps as dispensing by scanning the appropriate barcode on your label and changing the quantity to the actual quantity of the first NDC product. (Or alternately, type the NDC, Quantity and RX number). Rather than using the ‘Accept’ button, click on the ‘Accept & Dispense Another’ button to repeat the process with the NDC number and quantity of the second drug used to fill the prescription making sure to adjust the quantities for both drugs.
Are there any requirements for the password?
Passwords must be 8-25 characters long and must contain 1 UPPERCASE letter, 1 lowercase letter, 1 special character and 1 number.
My count is off, what do I do?
Click on ‘Reports’ on the toolbar. Run the ‘Last Verified Inventory Report’ to determine the date the count was last verified. On report menu fill in the date filter with a start date of the last verified date and end date of today. Choose the drug from the ‘Drug Filter’ dropdown box and then click on ‘Activity Report’. This will show dispensings and receipt information for the drug to allow comparison to the information from the pharmacy software. Only a manager or administrator can correct the inventory count of a drug. Go to the ‘Admin’ button on the toolbar. Go to the ‘Correct Inventory Count’ page. Select the drug from the dropdown box or tab twice to the ‘NDC’ field and enter the drug NDC. The program will show the current inventory. If this is incorrect simply enter the correct count in the ‘Actual QTY’ field. You will be required to enter a reason for the adjustment.
I’ve terminated an employee. Do I need to do anything in CSManager?
Please be sure to inactivate the employee by accessing the Admin page from the toolbar. Select the employee from the ‘Select User for the Following Actions’ dropdown box. Then click on the ‘Inactivate User’ button.
I’m sending some out of date drugs to my reverse distributer. How do I account for that in CSManager?
On the main screen select ‘Inventory Management’. Then choose ‘Issue to Reverse Distributer’. Enter the date of the transaction, the name of the company and select the drug from the dropdown box or enter the NDC. In the ‘Disp Qty” field enter the number of units that were out of date. Lastly, enter the Reverse Distributer’s 222C number.
We have prescriptions that weren’t selected up by the patient and are returning them to stock. Is there anything I need to do in CSManager?
You must make the correction in CSManager after reversing the prescription in your pharmacy information system. From the main screen click on ‘Inventory Management’ and then ‘Return RX To Stock’. On that screen you have the option of either scanning the CSManager approved barcode or manually entering the RX number. Enter the RX number and the associated information is automatically filled in. Click on the ‘Return RX to Inventory’ button.
I see some drugs on my “Below Par Order Report” but I don’t want to reorder that NDC any longer.
If you are carrying a different manufacturer of a drug then go to ‘Main Menu’ and then ‘Inventory Management’. From there select the drug and NDC from the ‘Select Update Drug’ from the dropdown box. Once you have selected the NDC you no longer want to order, click ‘Update Inventory Item’. On the drug information, change the ‘Full Level’ to ‘0’. This will prevent the drug from being on the Below Par Order Report. If you order that NDC in the future you will need to change your ‘Full Level’ so that it shows on your ‘Below Par’ report.
Do you have any suggestions for an ‘end of day’ procedure?
Some pharmacists have found it helpful to count the number of CII prescriptions filled that day and compare it to the “CII Script Count’ report which is found under the Administrative section. The default is the current date so the pharmacist can quickly see the number of CII prescriptions filled. Discrepancies can be easily researched.
